Your New Client Is Worth More Than Their First Visit

The checkout script for 5 treatments, the two things that kill a rebooking before it happens, and the exact texts to send after.

Quick answer: Say the next appointment out loud at checkout, right after a great result. Don’t wait for them to ask, and don’t just ask if they want to come back.

If you don’t know your rebooking rate off the top of your head, there’s a good chance it’s under 50%. That’s the cheapest revenue in your business, sitting untouched at your own front desk.

The Checkout Rule: A checkout isn’t done until the next visit has a date on it.

Step 1 — The Checkout Script For 5 Treatments

  • Botox: “You’ll see this settle in over the next two weeks. Most clients come back every 3 to 4 months to keep it looking this fresh. Want Thursday or the following Monday?”
  • Filler: “Lips usually hold 6 to 12 months and cheeks 12 to 24, so I’ll set your refresh timeline based on what we treated today. To keep your results looking seamless, let’s pencil in a follow-up for [Month] — does Thursday or Monday work better?”
  • Facial series: “You booked this as a series, and these space 3 to 4 weeks apart so each one builds on the last. Let’s lock in visit two now — same time next month work?”
  • Laser hair removal: “You’re on track for the results we talked about. It takes 6 to 8 sessions because we can only treat hair that’s actively growing, so staying on that 4-to-6-week rhythm gets you to the finish line fastest. Skipping one doesn’t erase your progress, it just stretches the timeline. Let’s get the next one on the calendar before you leave.”
  • Membership candidates: “You’re in here every month for this anyway — the membership would have saved you [$X] on today’s visit alone. Want me to run what that adds up to over a year?”

Step 2 — The Two Things That Kill A Rebooking Before It Starts

  1. Asking instead of offering. “Did you want to come back?” invites a no. “Thursday or Monday?” doesn’t.
  2. Waiting until they’re at their car. The rebooking has to happen at the counter, mid-checkout, not as an afterthought once they’ve already mentally left.

Where This Falls Short: This works because it’s said out loud, in person, right after a great result. Text and email follow-ups convert far less, and if your front desk skips this step, nothing downstream fixes it.

Step 3 — The Actual Texts For The 3-Touch System

  • Touch 1 (day of booking): automatic confirmation with the date already on it.
  • Touch 2 (1 week before their due date, if they haven’t rebooked): “Hey [Name], you’re due for your next [treatment]. Want me to grab you a spot this week?”
  • Touch 3 (30+ days past due, recall): “We miss you at [Spa Name]! It’s been a bit since your last [treatment]. Here’s 10% off if you rebook this month.”

Step 4 — Calculate Your Real Rebooking Rate

Pull last month’s client list. Count how many had a second appointment already on the books before they left visit one. Divide by total clients. Most spas are surprised how low that number is.

Start Here: Fix the ask. Change “did you want to come back?” to a specific day and time. That one swap is most of the fix.

The Payoff: Better retention isn’t about more marketing. It’s about not letting the client you already paid for walk out the door without a plan to see them again.

Frequently Asked Questions

What should my front desk say to get a client to rebook?
Acknowledge the result, name when clients typically come back, then offer two specific times, rather than just asking “want to come back?”

What’s a good rebooking rate for a med spa?
There’s no universal number, but if fewer than half of your clients have a next appointment booked before they leave, that’s real revenue sitting untouched.

Does this checkout script work for every treatment?
Yes. The same offer-a-time approach works for Botox, filler, a facial series, laser, or a membership conversation. The words change; the structure doesn’t.

Should rebooking happen at checkout or in a follow-up text?
At checkout, in person, right after the client sees their results. Text and email follow-ups convert far less than words said face-to-face.
